Advantages Of Email Communication



Communication is the process of transferring information from one source to another. The term is commonly defined as ‘the imparting or interchange of thoughts, opinions or information by speech, writing or signs’. Communication can be perceived as a two-way process, wherein there is an exchange and progression of thoughts, feelings and ideas towards a mutually accepted goal or direction.

Communication can be broadly categorized into verbal and non-verbal communication. In the 21st century, there is hardly any person between the age of 15 and 65, who is not familiar with email communication. Electronic mail, often abbreviated as email, is a method of exchanging digital messages, designed primarily for human use. A message at the very least consists of its content, an author address and one or more recipient addresses. Email communication falls under the group of mediated communication that includes messages that pass through a channel outside of the sender and receiver. This category of communication comprises of traditional mass media (print, radio, television and film) as well as digital devices (smart phones, MP3 players and computers). With the advancement of technology, media has become much more integrated and it is essential for communicators to comprehend its usage properly.

Email is the most widely used internet application. There are various strengths of using email communication. An email contains all details of correspondence and one does not require relying on memory for facts of interaction. If one has a habit of never deleting project related emails, then the contents can be recalled as per requirement. While communicating through email, one can edit and rephrase sentences as many times before sending it to the recipient, thus safeguarding the sender from incorrect grammar or embarrassing statements. This aspect of emailing works to the advantage of especially those who are less gifted with articulation skills.  Email also provides time stamped proof of an interaction. It covers exactly what was said along with a time reference.

Email is a relatively inexpensive means of communication. It allows one to send messages to a large number of recipients simultaneously at a price that is much lesser than traditional postal rates. All one requires is access to the internet and the recipient’s email address. These two things can render you the capability of communicating with anyone in the world. A very important advantage of email communication lies in the level of convenience that it offers. At any time of the day or night, one can communicate with friends, relatives, professors and business associates. This ease increases the communication between the concerned parties. It is a known fact that these days college administrators prefer email communication because it is much cheaper and more efficient than traditional mail. A newsletter mailed to two thousand students would cost approximately 400 dollars to print and 680 dollars in postage. Labeling and stuffing envelopes would take twelve working hours. This same message could be sent by email to multiple recipients in less than an hour with no printing or postage expense.

An email address has a linked permanency factor. It is more permanent then a telephone number or a mailing address and it stays in place even while transiting. Apart from just communication between two parties, an email account offers assistance in many other areas as well. One can apply for online scholarships or grants; telephone, electricity and various other bills can be paid online; bank statements and tax refunds also require an email account. Therefore, in this day and age, it is almost mandatory to be email savvy to keep afoot with the world.
